Terms & Conditions of Registration and Attendance

  1. Definitions
    • “Conference Manager” means MCI GeTS India Pvt Ltd of
      Golf View Tower, 6th Floor, Tower – B, Sector 42, Gurugram, Haryana 122009, India.
    • “Conference Secretariat” means DATRI Blood Stem Cell Donors Registry.
    • “Delegate” means any individual registering to attend the Event.
    • “Event” means the International Donor Registry Conference, scheduled to be held in Chennai, India.
    • “Organiser” means DATRI Blood Stem Cell Donors Registry of
      1207-1208 Ticel Biopark phase 2 Csir Road, Taramani, Chennai 600113 and Anthony Nolan (company number 2379280 and registered charity numbers 803716/SC038827) of 2 Heathgate Place, 75- 87 Agincourt Road, London NW3 2NU, United Kingdom.
    • “Website” means the official Event registration website.
  1. Scope and Acceptance
    • These Terms & Conditions (“T&Cs”) govern your registration, payment, attendance and participation in the Event.
    • By registering for the Event, Delegates agree to be bound by these T&Cs.
    • The Organiser reserves the right to amend these T&Cs at any time. However, you will be subject to the T&Cs in force at the time you submit your registration. Any material changes will be published on the Website.
  1. Registration and Eligibility
    • Registration is mandatory to attend the Event.
    • Delegates must be at least 18 years of age to attend.
    • All registration information must be complete and accurate. Failure to provide accurate or complete information may result in cancellation of a Delegate’s registration.
    • Registration is on a “first come, first-served” basis and tickets will be discounted for early purchases and for low-to-middle income countries, please see Website for details on ticket prices.
    • After registering for the Event (including making all relevant payments in full) you will receive an e-mail from the Conference Manager confirming your registration. This email will be sent to the email address provided during registration and it is your responsibility to ensure that this email address is correct and valid. Please note, your registration will not be confirmed until full payment has been received.
    • The Organiser reserves the right to refuse or cancel a registration at its discretion and issue a refund.
    • For any clarifications or queries on registrations, please write to the Conference Manager at registration@idrc2027chennai.com, and cc the Conference Secretariat secretariat@idrc2027chennai.com.

  2. Joining Instructions
    • Delegates will receive joining instructions confirming timings and venues in advance of the Event.
    • If you have not received this one week prior to the Event, please contact the Conference Manager at registration@idrc2027chennai.com, and cc the Conference Secretariat secretariat@idrc2027chennai.com. Please ensure you have checked your email inbox as well as your spam and junk mail.
  1. Accessibility and Special Requirements
    • Delegates requiring accessibility accommodations or special assistance should notify the Conference Manager at registration@idrc2027chennai.com and cc the Conference Secretariat at secretariat@idrc2027chennai.com
    • The Organisers will make reasonable efforts to accommodate such requests but do not guarantee that any such requests will be accommodated.
    • Delegates should fill in dietary requirements during the registration process. The Organisers will make reasonable efforts to accommodate dietary requirements.
  1. Fees, Currency and Taxes
    • All fees are stated in USD unless otherwise indicated.
    • All fees are subject to Goods and Services Tax (GST) at 18%. A payment gateway fee of 3.5% will be applied to the transaction amount, and GST at 18% will also be levied on the payment gateway fee.
    • Delegates are responsible for any bank charges, currency conversion fees, or international transaction fees incurred.

  2. Payment Terms
    • Full payment is required at the time of registration. A booking will only be confirmed upon full receipt of payment.
    • Without complete registration, entry to the Event may be refused
    • Accepted payment methods for international delegates are Credit and Debit card. For delegates from India are Credit and Debit card or Unified Payments Interface (UPI)

  1. Event Changes, Postponement or Cancellation
    • The Organiser reserves the right to:
      • Change the Event programme, speakers, venue, timetable, or format.
      • Convert the Event to a virtual or hybrid format.
        In such cases, you will not be entitled to a refund if you cancel your registration.
    • In the event of cancellation or postponement due to circumstances beyond reasonable control (including but not limited to force majeure events), the Organisers’ liability is limited to the registration fee paid.
    • None of the Organisers, the Conference Manager and the Conference Secretariat are reliable for travel, accommodation, visa or other costs incurred by Delegates.

  1. Travel, Accommodation and Visas
    • Delegates are responsible for arranging their own travel, accommodation, insurance, and visas. It is recommended that you check any visa and entry requirements in advance of registration. Invitation letters are issued at the Organiser’s discretion and do not guarantee visa approval.
    • The Organiser accepts no responsibility and is not liable for delays, losses, or costs relating to travel or immigration matters (including, but not limited to, if a visa application is denied or received too late).

  1. Health, Safety and Conduct
    • By registering for the Event, Delegates agree to conduct themselves safely and respectfully. Delegates agree to comply with:
      • All applicable laws and regulations of India
      • Venue rules, policies and health and safety requirements
      • Any instructions displayed or given in advance or on the day of the Event by Organisers, Conference Manager or the venue team.
    • The Event operates a zero‑tolerance policy for harassment, discrimination, or disruptive behaviour.
    • The Organiser reserves the right to remove any Delegate whose conduct is deemed inappropriate, without refund.

  2. Data Protection and Privacy
    • The personal data you provide in connection with your attendance at this Event will be processed by the Organisers in connection with, but not limited to, the organisation, promotion and administration of the Event.
    • Your personal data will be processed in accordance with:
      • Regulation (EU) 2016/679 (General Data Protection Regulation)
      • The UK General Data Protection Regulation, as supplemented by the Data Protection Act 2018
      • Where applicable, the Digital Personal Data Protection Act, 2023 (India).
    • If requested by delegates during the registration process, the Organisers will share your personal data with the Ministry of External Affairs, Government of India, for the purpose of obtaining the electronic political clearance required to support the issuance of a visa for attendance at the Conference.

  1. Photography, Filming and Recording
    • The Event may be photographed, filmed, or recorded.
    • By attending, Delegates consent to the use of their image or likeness for Event‑related promotional and reporting purposes.
    • Delegates may not record sessions for commercial use.

  2. Intellectual Property
    • All Event content, including presentations and materials provided to you during the course of or for the purposes of the Event, remains the intellectual property of the Organisers or respective speakers.
    • Delegates may use event content for their own personal use but may not reproduce, distribute, or commercially exploit Event content without permission.

  3. Liability and Insurance
    • Attendance is at the Delegate’s own risk.
    • The Organisers accept no liability for:
      • Personal injury (except where caused by negligence)
      • Loss or damage to personal property
      • Indirect, special or consequential losses
      • Third party losses (including loss of revenue, profit, contract, wasted expenditure, anticipated savings, data or goodwill).
    • If the Organisers are held liable to you for any reason, the Organisers’ total liability to you in relation to the Event (whether under these terms or conditions or otherwise) is limited to the amount of your fees for the Event.
    • Delegates are strongly advised to arrange appropriate travel and health insurance.
    • The views expressed by speakers, attendees or sponsors do not necessarily represent the views of the Organisers.

  4. Governing Law and Jurisdiction
    • These T&Cs are governed by the laws of India.
    • Any disputes shall be subject to the exclusive jurisdiction of the courts of Tamil Nadu, India.
