PRIVACY NOTICE



  1. Introduction

This privacy notice explains how your personal data will be collected, used, and protected in connection with your registration for the WMDA IDRC Chennai 2027 Conference (the “Event”).

Your personal data will be processed in accordance with:

  • Regulation (EU) 2016/679 (General Data Protection Regulation);
  • The UK General Data Protection Regulation, as supplemented by the Data Protection Act 2018; and
  • Where applicable, the Digital Personal Data Protection Act, 2023 (India).

We may collect and process the following categories of personal data:

  • Identification data, including your name, title, and professional role
  • Contact information, including your email address and telephone number
  • Organisation and affiliation details
  • Registration details and preferences
  • Payment and billing information, where applicable
  • Accessibility and dietary requirements, which may include health-related information

Where relevant, we may also collect information necessary to issue an official visa invitation letter, including your full name, nationality, passport details, date of birth, and affiliation.


  1. How We Use Your Personal Data

Your personal data will be processed for the purposes of:

  • Managing and administering your registration for the Event
  • Communicating with you regarding the Event
  • Organising and delivering Event logistics
  • Processing payments and financial administration relating to the Event
  • Producing reports, analytics, and evaluations about the Event
  • Issuing an official visa invitation letter, where requested, to support your visa application to attend the Event

  1. Lawful Basis for Processing

We process your personal data on the following legal bases:

  • Article 6(1)(b) GDPR – processing necessary for the performance of a contract
  • Article 6(1)(c) GDPR – compliance with legal obligations
  • Article 6(1)(f) GDPR – legitimate interests in organising and managing the Event

Where we process special category data, including health-related information, we rely on:

  • Article 9(2)(a) GDPR – your explicit consent

  1. Sharing Your Personal Data

Your personal data may be shared with service providers engaged in connection with the Event, including, but not limited to, event management platforms, cloud hosting providers, payment processors, and logistics providers. All such recipients are required to process personal data in accordance with applicable data protection laws and appropriate contractual safeguards.


  1. International Data Transfers

As this is an international event, your personal data may be transferred to, accessed from, or stored in countries outside your jurisdiction, including the United Kingdom, the European Economic Area, and India.

Where such transfers occur, appropriate safeguards will be implemented, including:

  • The UK International Data Transfer Agreement (IDTA);
  • The Standard Contractual Clauses adopted pursuant to Commission Implementing Decision (EU) 2021/914; and
  • Supplementary measures where required in accordance with guidance issued by the European Data Protection Board (EDPB) and the UK Information Commissioner’s Office (ICO).

Your personal data will be retained only for as long as necessary to fulfil the purposes described in this Privacy Notice, including compliance with legal, regulatory, financial, and reporting obligations.

Under applicable data protection laws, you have the right to:

  • Access your personal data
  • Request correction of inaccurate or incomplete data
  • Request erasure of your data
  • Restrict or object to processing
  • Request data portability
  • Withdraw consent to the use of your personal data at any time where processing is based on consent.   This will not affect any processing already carried out, and we may still process your data where we have another lawful basis.

You also have the right to lodge a complaint with a supervisory authority, including the UK Information Commissioner’s Office (ICO) or your local supervisory authority within the European Union.

As this is a global event, your personal data will be processed internationally in accordance with this Privacy Notice.

By registering for the Event, you acknowledge that your personal data will be processed for the purposes described above and may be transferred internationally. Where required under applicable law, including for cross-border data transfers, we will obtain your explicit consent.

We may update this Privacy Notice from time to time. Any changes will be published on the registration website.

ANNEX 1 – CHINA (PIPL) SUPPLEMENT

This Annex applies to individuals located in the People’s Republic of China.


A1. Legal Framework

Processing of personal information shall be carried out in accordance with the Personal Information Protection Law of the People’s Republic of China (PIPL), where applicable.


A2. Purpose of Processing

Personal information will be processed for the purposes described in this Privacy Notice, including Event registration, administration, communication, and logistics.


A3. Cross-Border Transfers

Personal information may be transferred outside of China to the United Kingdom, the European Economic Area, and India for the purposes of Event administration.

Such transfers are necessary for the performance of the contract relating to Event participation and for organisational purposes.

A4. Separate Consent

Where required under the PIPL, separate and explicit consent shall be obtained for:

  • the processing of personal information; and
  • the cross-border transfer of personal information.

A5. Rights of Individuals in China

Individuals located in China may have rights under applicable law, including the right to:

  • access and obtain a copy of their personal information
  • request correction or deletion
  • restrict or refuse processing
  • request an explanation of processing rules

A6. Safeguards

The Joint Controllers shall take reasonable steps to ensure that personal information transferred outside China is protected through appropriate technical, organisational, and contractual safeguards.
